What is a proof of residency or rent verification letter?
A proof of residency or rent verification letter is a signed factual statement from a landlord or authorised property manager confirming that a named tenant lives or lived at a particular rental property. It commonly records when the tenancy began, whether the current term has an end date or continues month to month, the monthly rent and the tenant's payment standing.
Tenants request these letters for mortgage underwriting, housing programs, school enrollment and a future rental application. The recipient may call or email the signer, which is why a verification contact belongs in the letter and why every statement should come from the lease, tenant ledger or another reliable property record. It is also called:

Some lenders, agencies and landlords require their own questionnaire or release. Accuracy, authorization and privacy
A verification letter is useful because another person will rely on it. That makes precision more important than praise. Confirm the address, dates and rent against the signed lease and amendments, and confirm payment standing against the ledger. If the history is mixed, describe it neutrally rather than selecting a clean-history statement that the records do not support.
The tenant should request or authorize the disclosure, especially when the letter goes directly to a lender, agency or future landlord. Share only what the stated purpose requires. Do not include a Social Security number, bank information, medical details, immigration information or allegations unrelated to the tenancy, and follow a recipient's required form when it will not accept a general letter.

- Use the records, not memory
- Copy legal names and the property address from the lease, tenancy dates from the lease and amendments, and rent and payment history from the current ledger. Resolve discrepancies before signing.
- Payment standing must be factual
- Use the current-and-consistently-on-time statement only when the ledger supports it. Otherwise describe the actual history in neutral terms—for example, whether rent is currently paid and how many payments fell within a contractual late period.
- Confirm authority before a manager signs
- A property manager should sign only when authorised to speak for the owner. The property management agreement, account records or owner instruction should make that authority clear.
- Get the tenant's direction
- Record who requested the letter, what organization should receive it and how it may be delivered. A release supplied by the recipient should be retained with the tenancy file.
- Keep the disclosure narrow
- Verify the requested rental facts and stop there. Avoid protected characteristics, disputes, complaints, speculation about the tenant or sensitive identifiers that the recipient did not need.
- A letter may not replace the recipient's form
- Mortgage underwriters, housing agencies and prospective landlords often use their own verification form. Ask first, so the tenant does not lose time submitting a document the recipient cannot accept.
